Council on Aging of Volusia County is a 54-year-old non-profit that provides critical services to some of the most vulnerable seniors in our east Central Florida community. DIRECTOR OF FINANCE

The Director of Finance is responsible for the operation and maintenance of the Council on Aging’s financial management system, including budgeting, accounting, reporting and analysis of revenues and expenses.

DETAILS:

- Operate and maintain the financial system to fully and accurately account for the receipt and expenditure of funds, in accordance with generally accepted accounting principles meeting Boards fiscal policies, Federal, State and local grant requirements.

- Protect the assets of the organization by maintaining effective internal controls, recommending procedures, insurance coverage and directly supervising members of the accounting and statistical staff.

- Assist Chief Financial Officer in development of COA and departmental budgets.

- Gain a thorough understanding of cost reimbursement principles as it relates to the requirements of Federal OMB circulars, single audit, general and specific requirements regarding the administration of Federal and State grants and contracts to be able to coordinate all audit and fiscal monitoring processes.

- Develop weekly, monthly, quarterly and annual financial statements and reports including the Grant Service Cost Reports depicting the status of COA program expenses, units of service by program, administrative allocation and accomplishments.

- Meet financial policies by developing and recommending procedures for accounting, cash management reporting, sub-ledger reconciliation and other activities of the Fiscal Department for the safe keeping of the Agency’s assets, and compliance requirements for Federal and State grants, agreements and contracts.

- Ensures maximum private pay and third-party reimbursement through efficient billing and collection operations.

- Maintain and operate the equipment and software of the Agency data processing system with particular emphasis on MIP accounting, AIMS and GIMS software.

- Make a significant input to the overall enhancement of the Agency as a participating member of the senior leadership team.

- Maintain strict confidentiality of all fiscal information.

- Perform other duties as assigned.

REQUIRED SKILLS AND COMPETENCIES:

Master’s degree in Accounting, Business, Finance or related field (MBA), Certified Public Accountant (CPA) or Certified Managerial Accountant (CMA) and at least two years related experience and/or training required; or equivalent combination of education and experience.

 

FINANCIAL SERVICES SPECIALIST

The Financial Services Specialist is responsible for setting up and entering data for Guardianship client records; and maintenance of these records. This position is also responsible for preparing all required court reports, including verified inventories and accountings, and any VA fiduciary or social security accounts.

DETAILS:

- Data enters all financial data of a daily and monthly basis for each Guardianship client, ensuring accuracy of all records.

- Oversee check processing system for Guardianship clients, verifying account balances are sufficient and keeping Guardianship Case Managers aware of account balances.

- Maintains up-to-date narratives on all work performed in each Guardianship client data record.

- Prepares necessary court filings regarding financial data including the initial verified inventories and annual accounting, and maintains records as to due dates of these reports.

- Provides Guardianship data to the Finance department for month-end reports.

- Reviews the Guardianship data program for errors, prepares any necessary and/or requested reports or queries.

- Prepares Payee reports.

REQUIRED SKILLS & COMPETENCIES:

  • Associate’s degree and two years of relevant experience are required; must be familiar with Microsoft Excel and Access; familiarity with stock, bonds and other forms of financial investments is required; equivalent combination of education and experience may be considered.

DIRECTOR OF DEVELOPMENT

The Director of Development provides results-driven leadership to increase immediate and long-term support of COA. This position is responsible for creating programs and initiatives related to donor relations, fundraising efforts and programs advancing the mission and vision of COA. Additionally, this person will develop and execute marketing, branding, public relations, and communications strategies to internal and external audiences, proactively identifying and promoting services and programs to enhance COA’s image among key audiences.

DETAILS:

  • Creates and executes department strategies with clearly defined goals, objectives, timeframes and metrics in consult with the Co-Executive Directors and other leadership, as needed.
  • Responsible for the communication of COA’s mission, vision and goals to donors and prospective donors to develop and sustain individual, corporate, and business relations and gifts.
  • Collaborates internally and externally regarding department initiatives to link programs with philanthropic opportunities.
  • Establishes and maintains community relations by serving on selected committees, boards, or other related group activities to promote COA and its programs; represents COA professionally at internal and external events, as needed.
  • Conducts ongoing strategic assessment of existing philanthropic strengths and opportunities and plans for long-term growth and success.
  • Remains current in developments within philanthropy and fund development, and informs the Co-Executive Directors, the fundraising committee and the BOD on current trends, issues, problems and activities.
  • Manages proactive and reactive media strategy, including crisis communications.
  • Plans and executes major and special events and activities that will create a favorable image of COA.
  • Manages department budget and personnel; including evaluating departmental structure and plan for continual improvement of the efficiency and effectiveness as well as provide individuals with professional and personal growth.
  • Ensures compliance with all relevant regulations and laws, maintaining accountability standards to donors and ensuring compliance with the code of ethics of professional conduct for fundraising executives.
  • Oversees marketing and communications activities, ensuring they are appropriately donor-centered and conducive to garnering support for COA.
  • Serves as chief editor. Writes, edits and/or reviews content for all print and digital formats, including the COA newsletter. Makes daily writing and editing assignments. Oversees the writing, review and editing of copy. Makes final decisions regarding content and copy for electronic and printed publications.
  • Cultivates relationships with local, regional and national media representatives to create promotional and visibility opportunities for COA.
  • Oversees volunteer coordination and assist to identify, cultivate, recruit, and develop fundraising volunteers and leadership.
  • Designs educational programs in fund development for staff and volunteers.

REQUIRED SKILLS & COMPETENCIES:

Bachelor’s degree in Business Administration or related field required, Master’s degree preferred; and five years related experience and/or training; or equivalent combination of education and experience. Demonstrable success in major gift fund-raising including donor cultivation and solicitation with strong supervisory and team development skills.

 

SUBSTITUTE SITE COORDINATORS 

Are you interested in working on an on-call basis? Do you have a flexible schedule? Do you enjoy working with seniors? COA is hiring Substitute Site Coordinators. A Substitute Site Coordinator will fill in for Dining Site and/or Senior Center Coordinators when they are out for vacation or illness. The Substitute Coordinators will assist with our Congregate and MOW meal programs and/or with activities at our Senior Centers. Subs are paid for their hours worked and mileage.
